Best Practices for File-Naming Just like paper files, electronic files need to be well-organized and labeled correctly so that they are identifiable and accessible, both to people as well as computers. Efficient management of electronic records begins with accurate file-naming. Mac or PC, there are several important rules to follow to ensure your files will be received, accessed and archived correctly. • Avoid using special characters in a file name, like \ / : * ? ” < > | [ ] & $ , . The characters listed above are frequently used for specific tasks in an electronic environment. For example, a forward slash is used to identify folder levels in Microsoft products, while Mac operating systems use the colon. Periods are used in front of file-name extensions to denote file formats such as .jpg and .doc; using them in a file name could result in lost files or errors. • Use underscores instead of periods or spaces As mentioned above, periods already have a specific function in a file name, which is to tell the computer program where the file-name extension begins. Spaces are frequently translated in a Web environment to be read as “%20.” For example, Naming tutorial.doc would appear as Naming%20tutorial.doc if it were available online. Spaces or periods at the very end of a file name are unacceptable and unsupported in the Windows environment. • Err on the side of brevity Generally about 25 characters is a sufficient length to capture enough descriptive information for naming a record. A file name any longer may be abbreviated or lost during transfer between operating systems. Post Large PDF Files on Acrobat.com Acrobat.com offers a free service of hosting PDF files. You can upload a PDF file and email somebody a link to it, where they can view or download it. This is helpful if the PDF is too large to email and simpler than using FTP. Editing Long Documents: Work Backwards! If you’ve ever sat down with a stack of edits to a long document, you know how it can turn into a mess quickly. For example, you remove two paragraphs from page 4 and suddenly, all the changes on the next 60 pages aren’t where they were on the hard copies. Now, you’ve got to search out the places to edit, which could be moving from page to page depending on previous edits. That can add a lot of time to simple editing. The Solution? Edit from the back of the document to the front.
